Welcome to Artist Diary, operated by Desire Software Technology LLP ("Company", "We", "Us"). We are committed to protecting your privacy while managing your professional artistic records. This Privacy Policy explains what data we collect, why we collect it, how sharing connections work, and how we use trusted services such as Google Login, Google Analytics, push notifications, and Cashfree Payment Gateway.

1. Data Protection & Encryption

We implement a robust security framework to safeguard your information:

• Encrypted Login System: All access to your Artist Diary is protected by advanced encryption protocols ensuring unauthorized parties cannot access your account.
• Secure Storage: Your personal and professional data is stored in secure, encrypted environments following high-industry standards.
• No Third-Party Sharing: We do not sell, rent, or trade your personal data with any third party. Your business is your own.
• Sensitive Data Protection: Any identity document photos (such as Aadhaar card or PAN card images) and bank details that you choose to store are kept in your private account with additional encryption. These are stored purely as your own personal records - we do not access, view, verify, or use this data for any purpose other than securing it for you.

2. Information We Collect

To provide a professional digital record system, we may collect the following information. All data listed below is collected only with your knowledge and consent - you choose to enter each piece of information yourself. We do not collect data silently or without your action. We do not share your personal data with any third party for marketing or commercial purposes.

A. Account & Login Data

• Email address, phone number (if provided), and user ID
• Login provider details (email/password or Google Sign-In)
• Device and session information, push notification token, and security logs

B. Your Profile (Personal & Professional Details)

• Username / stage name, first name, middle (father's) name, last name
• Organization name, profile type (Artist / Event Organizer / Simple User)
• Gender, date of birth, about me / bio, profile photo
• State, district, taluka, and address
• Designation, art form and art category
• Primary and secondary contact numbers
• Optionally provided identity & verification documents (stored as your own personal records): Aadhaar card front & back photo, PAN card photo, GST number, GST PDF, letterhead PDF
• Optionally provided bank details: bank name, branch name, account holder name, account number, IFSC code, passbook / cheque photo
• Signature photo, bio PDF

C. Artist Details

• Artist's first name, middle name, last name, profile photo
• Gender, date of birth, contact number
• Designation, art category and subcategory
• State, district, taluka, and address
• Optionally provided for each artist (stored as personal records within your private diary): Aadhaar card front & back photo, bank name, branch name, account holder name, account number, IFSC code, passbook photo, signature photo, bio PDF
• Whether the artist record is shared with your connections

D. Event Diary

• Event name, start and end date, start time, venue / address
• Contact person name and contact number
• Total order amount and notes
• Payment entries (multiple allowed): amount, payment date, payment method (online / cash / cheque)
• Expense entries (multiple allowed): paid to, expense details, amount, expense date, payment method
• Attached documents (name and file)

E. Travel Plans

• Event name, start and end date, event state and place
• Travel leader name and mobile number
• Arrival details: mode of travel (road / train / flight), arrival date, time, place, vehicle name, vehicle number
• Departure details: mode of travel, departure date, time, place, vehicle name, vehicle number
• Linked artist records and travel documents

F. Technical Details

• Technical profile title / performance name
• Technical requirements (multiple allowed): requirement name and description
• Attached documents

G. Artist Bio & Performance Details

• Bio title and bio PDF document
• Performance title, duration, and performance PDF document

H. Driver Details

• Driver name, mobile number, vehicle number, vehicle type, and designation
• Passport photo, ID card front photo and back photo

I. Portfolio (Photos & Videos)

• Photo folder names and uploaded photos
• Video folder names, YouTube video URLs, video titles and descriptions

J. Plan & Payment Data

• Subscription plan, payment status, invoice or tax-related information
• Transaction reference and payment gateway response
• We do not store full card numbers, UPI PINs, or banking credentials

K. Usage & Analytics Data

• App usage events, feature engagement, error logs, and analytics events
• Push notification tokens and communication preferences used to operate and improve the service

3. How We Use Information

We use your information only for service-related purposes, including:

• Creating and securing your Artist Diary account.
• Showing your professional profile, records, files, reports, and connected data as selected by you.
• Managing subscription plans, plan limits, payments, invoices, renewals, and support requests.
• Sending important account alerts, reminders, push notifications, security updates, and service messages.
• Improving app performance, fixing errors, understanding feature usage, and preventing misuse or fraud.
• Complying with applicable law, tax requirements, Google policies, payment gateway rules, and platform safety requirements.
• We do not use your personal data for advertising, behavioural profiling, or selling to third parties. Your bank details and identity documents are stored solely for your own reference within your private diary - we never access or use them for any commercial purpose.

4. Subscription Plans, Data Limits & Retention

Different subscription plans may include different feature limits, storage limits, upload limits, export limits, sharing limits, or access periods. These limits help us keep Artist Diary reliable for all users.

• If your Silver or Gold plan shows "Unlimited Records", it means you can create unlimited text/database records in the supported Artist Diary categories included in that plan, such as Artist Details, Travel Plan, Event Diary, Portfolio, Performance Details, Artist Bio, Technical Requirements, Driver Details, photo folders, photo records, and video folders where the plan shows unlimited access.
• Unlimited Records does not mean unlimited storage or unlimited file uploads. Photos, videos, PDFs, documents, exports, downloads, notifications, connections, and other technical usage may still have fair usage, storage, security, daily, file-size, app, provider, or plan limits shown in the app, plan screen, or our official communication at the time of use.
• Unlimited Records cannot be used for spam, fake entries, automated abuse, malicious files, sexual content, illegal material, or any activity that harms users, Artist Diary, Desire Software Technology LLP, Google services, Cashfree Payment Gateway, hosting providers, or applicable law.
• If your plan expires, is cancelled, or exceeds its limits, some features may be paused, restricted, or moved to read-only access until you renew, upgrade, reduce usage, or contact support.
• We may retain account, payment, tax, security, and support records as required for business, legal, accounting, fraud-prevention, and compliance purposes.
• Retention periods: Your profile and diary data is retained until you delete your account or request deletion. Payment and tax records are retained for a minimum of 5 years for accounting and tax compliance purposes and cannot be fully deleted during this period. Analytics data is retained according to Google Analytics default retention settings.
• When deletion is requested, we will process it according to applicable law and technical feasibility. Data will be removed from active systems within 90 days of a valid deletion request. Some residual data may remain in encrypted backups for up to 180 days for operational or compliance reasons before being permanently removed.

5. Google Login, Analytics, Push Notifications & Cashfree

We use selected third-party services only to operate, secure, measure, notify, and process payments for Artist Diary:

• Google Login: If you sign in with Google, we may receive basic account information such as your name, email address, profile image, and login identifier, depending on what Google provides and what you permit.
• Google Analytics: We may use analytics to understand app usage, performance, errors, feature engagement, device type, and general traffic patterns. This helps us improve the service and is not used to sell your personal information.
• Push Notifications (Firebase Cloud Messaging): We use Firebase Cloud Messaging (FCM) to send account alerts, reminders, security messages, service updates, and relevant app notifications. Firebase may process your device token in accordance with Google's privacy policy. You can control notification permissions from your device settings where available.
• Cashfree Payment Gateway: Payments are processed through Cashfree or another authorized payment provider. The provider may receive payment-related details needed to complete, verify, refund where applicable, settle, or report a transaction. Please refer to Cashfree's Privacy Policy for details on how they handle your payment data.
• International Data Processing: Google processes data on servers located internationally, including in the United States. By using Google Login or allowing analytics and push notifications, you acknowledge that your data may be processed internationally in accordance with Google's Privacy Policy.
• Each third-party provider may process data under its own terms and privacy policy. We aim to keep our use of these services limited, transparent, and compliant with applicable provider policies.

6. Your Responsibility in Connections

Artist Diary allows you to connect with other professional profiles via a unique User ID. Please understand our policy regarding shared data:

• Control: You have full control over what documents or records you share with your connections.
• User Liability: If you choose to share your private documents, portfolio, or event details with another connection, Desire Software Technology LLP is not responsible for what that connection does with that information.
• Discretion Advised: We encourage you to only connect with and share data to profiles you trust and verify independently.
• After Sharing: If another user views, downloads, copies, screenshots, exports, or otherwise uses data that you chose to share, we may not be able to recover or delete that copy from the other user's device or records.
• Sensitive Fields Are Never Shared Automatically: Sensitive information such as your Identity document photos, bank account details, mobile number, and email address are never shared with your connections automatically. Only data you explicitly choose to share is visible to others.
• Public Profile & Search Engines: If your profile is set to Public, your profile information may be indexed by search engines. We cannot guarantee the removal of cached or indexed data from third-party search engines after the fact. You can set your profile to Private at any time from your Profile Settings page inside the app.

7. Your Data Rights

You have full rights over the personal data you store in Artist Diary. Here is what you can do and how to exercise these rights:

• Access: You can request a summary of the personal data we hold about your account at any time.
• Correction: If any information in your account is inaccurate, you can update it directly in the app or contact us to request a correction.
• Deletion: You can request deletion of your account and associated personal data. Payment and tax records may be retained for a minimum of 5 years for accounting and compliance purposes and cannot be deleted during this period. All other data will be removed from active systems within 90 days of a valid request.
• Withdraw Consent: You can withdraw your consent to data collection at any time by deleting your account. Withdrawal does not affect anything that was processed before you withdrew.
• Raise a Concern: If you have any concern or complaint about how your data is handled, you can contact us and we will respond within 7 business days.

8. Content Safety & Account Blocking

To protect users and comply with applicable Indian law, hosting rules, Google policies, payment provider rules, and platform safety obligations, we may review reports, metadata, or uploaded content where needed for security, moderation, support, or abuse prevention.

• If we find malicious files, fake documents, misleading content, nudity, sexual content, illegal material, harmful files, or abusive photos, videos, PDFs, or documents, we may restrict, suspend, block, or permanently remove the account.
• We may also remove the content, limit sharing, disable uploads, or preserve necessary evidence where required for safety, compliance, dispute handling, or legal reasons.

9. Data Breach & Liability

While we use commercially reasonable methods to protect your data, no digital system is completely immune to risks:

• Breach Notification: In the event of a security incident that affects your personal data, we will notify affected users promptly and take all reasonable steps to contain and address the issue.
• Limited Liability: We do not accept responsibility for data leaks or unauthorized access that occurs due to factors beyond our reasonable control, including but not limited to your own device security, password sharing, or third-party platform vulnerabilities.
• User Security: You are responsible for maintaining the confidentiality of your password and securing the devices you use to access the service.

10. Compliance With Law & Provider Policies

We aim to operate Artist Diary in a way that respects applicable Indian law, platform safety obligations, Google's policies, Cashfree's payment gateway requirements, and any other provider policies that apply to our services. If any part of this Privacy Policy conflicts with a mandatory legal requirement, court order, or government direction that legally applies to us, that requirement will take precedence to that extent.

11. Jurisdiction

This Privacy Policy is governed by the laws of India and the Constitution of India. In the event of any disputes, the exclusive jurisdiction shall lie with the courts in Gandhinagar, Gujarat, India.

13. Prohibited Activities & Account Suspension

If your account is found to be engaged in suspicious activity, spreading misleading information, uploading malicious files, or uploading media/documents containing nudity, sexual content, illegal material, harmful content, or other misleading material, your account may be restricted, blocked, or banned from our side.

To request reactivation of a blocked account, you must send an email to [email protected] with the subject line "Reactivate My Account" and include your personal name in the message.

14. Changes to This Privacy Policy

Desire Software Technology LLP reserves the right to update, modify, or change this Privacy Policy at any time without prior notice. Any change to this Privacy Policy shall be effective immediately upon posting and shall apply to any visitor or user who has previously visited, used, or accepted the Artist Diary Privacy Policy before the change was made. We recommend that you review this page periodically to stay informed of any updates. The "Last Updated" date at the top of this page reflects when the most recent change was made. Your continued use of Artist Diary after any changes are posted means you accept the updated Privacy Policy.
